Japanese Club will hold its election for the 2023-2024 school year
on Thursday, March 2nd!
Votes will be sent electronically, with results announced at the end of the meeting.
Here’s a rundown of what this means, how to run for a position, and a realistic rundown of duties related to each position.
After election results are announced, winners will be added to WCUPA’s Ram Connect system as next year’s cabinet. You will then receive emails from the Office of Student Leadership (don’t worry- you don’t have to attend their meetings yet).
New and old cabinets will work out a training schedule from there, and new cabinet members are encouraged to shadow current elects to better understand the role.
How to prepare:
- Email Zoë Peters, secretary, with your intent to run at zp959968@wcupa.edu (if there are extra candidates the day of, it's ok).
- Prepare a 1-2 minute speech/presentation about who you are and why you should be elected. What fresh ideas do you have for the club to improve it?
- If presenting a PowerPoint, be prepared with a laptop to stream to tv via HDMI cable (provided for both mac and windows).
Responsibilities:
All Cabinet Members:
- Attend monthly Council of Organization meetings (First Tuesday of each month, 7:00 PM start time. One executive must attend for the club to hold good standing).
- Run Club Fair booth (usually a Thursday or Friday each semester from 12-3:00 PM)
- Attend Club Meetings, and divide duties during club as needed (Setting up, getting room keys, presenting topics at meetings)
- Attend Budget Hearings and Presentations as needed (if the club needs more money, you can present to the Finance Committee your reasons why once per semester. If club is asking for more than $1K for the next academic year, a presentation is required in the Spring semester).
President:
- Leads most meetings in terms of presenting to the group, and setting the agenda and goals of the club.
- Works with other cabinet members to keep them on track and in the know. Pretty much, you have to know everything that’s going on and report due dates to the others (I send a “weekly roundup” email).
- Reports to faculty advisor, Naoko Rotunno, as needed.
- Runs Social Media and Ram Connect event pages as needed (this is a role that I took on but will soon delegate to a Social Media Manager chair).
Vice President:
- Assists President in leading most meetings in terms of presenting to the group, and setting the agenda and goals of the club.
- Similarly to president, assists other cabinet members in their duties ensuring that they are on track in their duties.
- Reports to faculty advisor, Naoko Rotunno, as needed.
Treasurer:
- When something is purchased for the club, fills out required refund paperwork, gathers signatures necessary (treasurer and faculty advisor) and hands into SSI (Student Services Incorporated) office.
- Keeps track of club budget and ensures money is spent within reason over course of the year.
- Attends required treasurer and budgeting training (usually 2 per academic year).
- Proposes and secures yearly club budget (if asking for over $1k, a finance committee presentation is necessary).
Secretary:
- Writes, designs templates, and sends out mass emails using Ram Connect (usually once a week, but could be more if needed).
- Is the club’s official contact for new members and other questions.
- In charge of 25Live club room reservations. Must be done asap each semester to ensure the club has a good space to meet in.
