Dear Student Organization Leaders - 

Are you looking for a unique and exciting way to fundraise for your organization?  

Do you want a chance to talk about your organization to prospective new members?  

Residence Life and Housing is looking for student volunteers to be a part of the Move-In Team and assist us in welcoming students to campus and their new home!ÔÇ» Incoming First-Year and Transfer Student Move-In will occur on Wednesday, August 23rd and Thursday, August 24th . Returning Student Move-In will occur on Saturday, August 26th and Sunday, August 27th.  

Help us show incoming students and families your pride for both your organization and the West Chester University community! This is your exclusive opportunity to increase exposure to students while receiving monetary compensation for your organization.  

Volunteers will receive: 

  • $10 to your organization’s SSI account. Payment will be transferred after the completion of a volunteer shift. Individuals may sign-up to volunteer for multiple shifts, but the SSI donation will be capped at $10 per volunteer. If you do not have an SSI account and would like to participate, please email Kimmy Farrer to receive the SSI account application at kfarrer@wcupa.edu(Please note: You may only select (1) organization for volunteer funds to be deposited into.)

  • A Move-In Team T-shirt (or tank top) to wear for their shift. 

  • Lunch and/or Breakfast on your day of volunteer shift 

  • Approval as an Early Arrival for move-in on Tuesday, August 22nd(Please Note: If you sign up for a volunteer shift and DO NOT attend your shift, Residence Life and Housing reserves the right to bill you per night you move in as an Early Arrival. Each night will be billed $27.50.)

Volunteer Expectations 

  • Volunteers will arrive and check-in at Hollinger Field House 15 minutes before their shift for a brief training. 

  • Volunteers will be scheduled to the following roles, alongside Residence Life staff: 

Cart/Unloading 

Provide 2 carts per student and give instructions on how to unload, give students the timeframe for having the cart and how to get to their building and unload items. Remind students of the timeframe and ask to please unload, go to their building, and return ASAP.  

 

Traffic & Parking Liaisons 

Monitor traffic control. Greet families/students upon arrival and notify them of how to check-in. Will assist with unloading items if needed.  

 

Elevator 

Handle cart and pedestrian traffic near the elevators. Direct students and families to use stairs if possible if back-ups occur at the elevators. Informs Building Lead/Lead of any issues regarding the elevators. 

 

Greeters 

Greet students and families outside of residence halls and/or directly inside the doors. Will assist with opening front exterior doors. On South-- greeters will be stationed at various points along the drive-up, greeting folks, and directing them to parking spaces.  

  • Only recognized, active student organizations will receive $10 per volunteer to your SSI account. If your organization is not an official club, organization, club sport, or NCAA athletic team, or is currently inactive and/or not recognized, your organization will not receive $10 per volunteer. You are permitted to volunteer your time, but your organization will not be compensated.  

  • Please wear comfortable footwear and store personal items at home. 

  • You can wear hats, fanny packs, pins, sunglasses, etc. as a way to show off your organization. Please make sure all organization-related gear is a positive reflection of your organization.

  • Forward this email to all members of your student organization! This email was only sent to executive board members. 

  • Sign up via the online form HERE.

  • Each member must sign up individually via the online form.ÔÇ» Submission deadline is August 4th. Please be sure to fill out your one organization you are volunteering for, your t-shirt size and, any food restrictions you may have as well as indicate if you will be requiring an early arrival if you are living on-campus this upcoming semester. 

    Early Arrival and Early Move-In Information 

  • Volunteers who will be living in on-campus housing are able to move into their fall housing assignment early on Tuesday, August 22nd. Further details will be emailed in early August if you indicate you have a need for an Early Arrival. (Please Note: If you sign up for a volunteer shift and DO NOT attend your shift, Residence Life and Housing reserves the right to bill you per night you move in as an Early Arrival. Each night will be billed $27.50.)

  • Check the email address you provide on the online form throughout the summer for further details regarding your return to campus and Move-In Day.
